Personal data processing and GDPR

By filling in the form for downloading marketing content, registering in the Partner Zone, subscribing to commercial communications or browsing our website, you allow INFOMATIC s.r.o. with registered office at Bucharova 1186/16, 150 00 Prague 5, registered in the Commercial Register maintained by the Municipal Court in Prague under file number C 178118, ID No.: 24828441 (hereinafter referred to as the "Administrator" or "Data Controller") to use your personal data. This page is intended to inform you, in accordance with Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data (GDPR), what information we collect about you, for what reason and how we use your information, what your rights are regarding the use of personal data by us and how you can exercise them with us in accordance with the GDPR Regulation.

What information do we collect about you?

In the order register we process your personal data in the scope of e-mail, full name, telephone, address and price data. We first need the data to process the order, i.e. to fulfil the contract. After the contract has been fulfilled, we use the personal data from the order register for further purposes. It is in our legitimate interest to maintain the entire order record for legal protection against future disputes. Due to the statutory warranty period for the quality of the goods, the statute of limitations and the operation of the court system, we must process your order record data for a period of 6 years. We also use the data from the order register to fulfil our legal obligation to archive documentation for possible financial control for a period of 10 years.We process your personal data in the user register to the extent that you provide it to us when registering or editing your profile and when creating an order. It is in our legitimate interest to keep a database of users. In addition to registration purposes, we also use this database for marketing purposes (more about these below). We hold personal data for user registration purposes for a period of 5 years after your last order or after you have filled in a form when downloading materials from our website.We also use your personal data for the purpose of arranging transport (fulfilling our part of the contract). We pass this data on to shipping companies.

For reasons of possible claims, both by the customer and by the carrier, we process this data for the purpose of arranging transport for a period of 5 years from the creation of the order.In order to provide you with appropriate technical support with the use of our products, services or website, we also store technical data about the device you use to access our website (the browser you use, the device from which you access our website and the operating system you use). The provision of technical support is in our and your legitimate interest. This information is part of our internal logs and we do not use it for any purpose other than providing technical support, however, for technical reasons we must maintain it for the lifetime of the personal data we process. The latest we will delete this information about you is 5 years after your last order or support request via the Helpdesk system.

How do we use the data for marketing purposes?

For marketing purposes, we process your contact details that you fill in when ordering, registering or subscribing to commercial communications, which we use to send you commercial communications and to make the communications we send you more relevant. We strive to make information from us useful and inspiring to you, so it is important for us to know your reaction to these communications and we keep feedback about them. Of course, you can unsubscribe from our commercial communications at any time. Once you have unsubscribed completely (from all information channels), we will no longer use your contact personal data to send you commercial communications.

Your opinion is important to us. We therefore store the feedback that we receive from you, most often in the form of answers to questions from questionnaires, carefully. We are interested in how satisfied you are with our products, goods, services, website, carriers, and much more.

We also want to reward you for your loyalty and thank you for your long-standing goodwill. In order to know which benefits you are entitled to, we need to know, among other things, how much money you order and purchase goods from us. It is in our legitimate interest as a merchant to track this information for individual customers, especially when we can offer you substantial benefits based on such tracking and thus reward your loyalty.

We use all personal data used in marketing on the basis of legitimate interest and retain it for marketing purposes for a period of 5 years from your last order. As we are aware that data about what specifically interests you, what you like about us and your feedback on the marketing communications we send you may be perceived as more sensitive data, we only store this data for 2 years from the time we receive it.

INFOMATIC s.r.o. uses cookies on its website in order to improve the functioning of the website, to evaluate its traffic and to optimize marketing activities. Cookies are small text files that are stored locally by the browser on the computer used to view the website. Cookies do not serve and do not allow the personal identification of website users. In the event that a visitor to the website does not consent to the collection of cookies, they can prevent their collection by changing their browser settings. Google Analytics

INFOMATIC s.r.o. uses Google Analytics, operated by Google Inc., Amphitheatre Parkway, Mountain View, CA 94043, USA ("Google"), to analyse the website using cookies.

The analysis using Google Analytics is carried out anonymously, on the basis of collected cookies that are transferred to a Google server. On the INFOMATIC s.r.o. website, the IP address is shortened before the data is transmitted to the Google server. Who do we pass the data to?

Your personal data is used exclusively for our internal purposes and only for the reasons stated above. Where do we store the data?

The data is stored on backed-up servers of INFOMATIC s.r.o. Access to the systems mediating personal data of our customers is only granted to a limited number of internal users for whom it is necessary due to the nature of their work. These may include, for example, employees working in customer care, order processing, etc. Individual employees always have access only to the amount of personal data that they strictly need for their work. Access to all critical systems that process our customers' personal data is restricted to the internal network only and the aforementioned persons will automatically lose access to your personal data in the event of termination of the legal relationship with us.

What rights the GDPR gives you and how to use them with us

Right of access to information and right to rectification

At any time in the future, you can ask us to confirm whether or not your personal data is processed by us by sending a message to info@infomatic.cz. In the event that your data is processed by us, we may, at your request, also inform you about any third parties to whom your personal data has been or will be disclosed, in addition to the information provided in the General Terms and Conditions, in this Privacy Policy and in the document containing information on the use of cookies. If we do not obtain personal information from you, you have the right to any information available to us about where we obtained your personal information.If we process personal data about you inaccurately, you may notify us of this by sending a message to info@infomatic.cz, and we will then correct the inaccurate personal data without undue delay. In case you would like to complete some personal data that you have not previously provided to us on our Partner Zone, and this personal data is necessary to provide the services we provide, you only need to fill it in again in the appropriate place of profile editing. By emailing info@infomatic.cz you can request the removal of your user account and personal data that is not necessary for further processing.

Right to object to the processing of personal data

Even if we process your personal data on the basis of our legitimate interest, you have the right to object to such processing, including objections to the processing of personal data that we process for direct marketing purposes. You can do this by sending a message to info@infomatic.cz. If you submit such an objection, we will assess without undue delay the extent to which we can claim the legitimacy of our reasons for processing your personal data in accordance with the law despite your objection and how we will handle your personal data in the meantime. Until we have demonstrated to you our legitimate grounds for processing, we will no longer process your personal data.

Right to restriction of work with personal data

You have the right to request that we restrict any processing of your personal data, including its deletion, i.e. that we stop handling it:

  • If you let us know that the personal data collected by us is inaccurate, until we verify its accuracy.
  • If the processing of your personal data is unlawful and you, instead of requesting its deletion, request a restriction of its use by sending a message to info@infomatic.cz.
  • If we no longer need your personal data to provide our services, but you need it to exercise your rights.

Right to be forgotten (right to erasure of personal data)

If you become aware that we are processing your personal data:

  • Although their processing is no longer necessary for the purposes for which we obtained them,
  • If you object in accordance with the paragraph above and we are unable to demonstrate legitimate grounds for processing that override your interests, your rights and freedoms, or the exercise or defence of legal claims, and/or unlawfully,

you have the right to request that we delete the personal data processed in this way without undue delay after your notification of such facts by sending a message to the e-mail address info@infomatic.cz. However, we cannot delete the data even at your request if the processing is necessary for the exercise of the right to freedom of expression and information, for the fulfilment of one of our legal obligations or for the performance of a task carried out in the public interest or for the establishment, exercise or defence of legal claims.

Right to the provision of data in machine-readable form

If you ask us to provide you with your personal data processed by us by sending a message to the e-mail address info@infomatic.cz, we will send it to you in a structured, commonly used and machine-readable format (e.g. *.pdf, *.doc, *.xls, *.csv, or similar format). If you ask us to send your personal data to another data controller, we will of course comply with your request.

The right to unsubscribe from receiving commercial communications at any time

In the event that you no longer wish to receive commercial communications from us, you may opt-out of receiving them either by clicking on the link included in each commercial communication.

Right to withdraw consent to receive commercial communications at any time

In the event that we ask for your consent to the processing of your personal data as part of our special events, you can withdraw this consent at any time, even without giving reasons. You can always withdraw your consent by sending a withdrawal of consent to info@infomatic.cz.

If you believe that we are not fulfilling all of our legal obligations arising from the processing of your personal data, please contact info@infomatic.cz. We consider functional cookies to be necessary and therefore place them on the website without your consent.

How we store consent to use cookies

We store users' consents to the use of cookies through the CookieHub platform. This platform stores only the data necessary to identify the user's consent.

Token

A random string stored in the CookieHub cookie in the user's browser along with the cookie category settings. We need this token to identify the consent given.

URL

The full URL that the user was at when configuring consent.

Anonymised IP address

The IP address of the client. The last part of the IP address is replaced by 0, because the IP address can be considered personal data.

Country

The registered country code for the IP address. When using geolocation, this can be useful to determine whether or not the user has consented or received any options.

User Agent

The user agent usually contains information about the browser and the operating chain.
