Processing of personal data and cookies

By filling out a form to download marketing content, registering in the Partner Zone, subscribing to newsletters, or browsing our website, you allow INFOMATIC s.r.o., with its registered office at Bucharova 1186/16, 150 00 Prague 5, registered in the Commercial Register maintained by the Municipal Court in Prague under file no. C 178118, ID No.: 24828441 (hereinafter referred to as the "Controller" or "Personal Data Controller") to use your personal data. This page is intended to inform you, in accordance with Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data (GDPR), about what information we collect about you, why and how we use your information, what your rights are regarding the personal data we use, and how you can exercise them with us in accordance with the GDPR.

What information do we collect about you?

In our order records, we process your personal data including your email, full name, phone number, address, and price information. We first need this data to process your order, i.e., for the performance of a contract. After the contract is fulfilled, we use the personal data from our order records for other purposes. It is in our legitimate interest to maintain the entire order history for legal protection against future disputes. Given the statutory warranty period for goods, the statute of limitations, and the functioning of the judicial system, we must process your order data for 6 years. We also use data from our order records to fulfill our legal obligation to archive documentation for potential financial audits for a period of 10 years.

We process your personal data in our user database to the extent that you provide it during registration, profile updates, or when placing an order. Maintaining a user database is in our legitimate interest. In addition to registration purposes, we also use this database for marketing purposes (more on this below). We retain personal data for user records for 5 years from your last order or from the time you fill out a form to download materials from our website.

We also use your personal data to ensure delivery (to fulfill our part of the contract). We share this data with shipping companies. Due to potential claims from either the customer or the carrier, we process this data for shipping purposes for 5 years from the date the order was created.

To provide you with proper technical support for our products, services, or website, we store technical data about the device you use to access our site (the browser, the device, and the operating system). Providing technical support is in both our legitimate interest and yours. This information is part of our internal logs and is not used for any purpose other than providing technical support; however, for technical reasons, we must retain it for the entire duration of the lifecycle of the personal data we process. We will delete this data no later than 5 years after your last order or support request via our Helpdesk system.

How do we use data for marketing purposes?

For marketing purposes, we process the contact details you provide during ordering, registration, or when signing up for commercial communications, which we use to send such communications and to ensure the relevance of the messages we send. We strive to ensure that the information you receive from us is useful and inspiring, which is why it is important for us to know your reaction to these messages, and why we keep feedback on them. You can, of course, unsubscribe from our commercial communications at any time. Once you have fully unsubscribed (from all information channels), we will no longer use your personal contact details for sending commercial communications.

Your opinion is important to us. We carefully store the feedback we receive from you, most often in the form of responses to questionnaire questions. We are interested in how satisfied you are with our products, goods, services, website, carriers, and much more.

We also want to reward your loyalty and thank you for your long-term support. To know which benefits you are entitled to, we must, among other things, know how much you spend on orders and purchases with us. It is in our legitimate interest as a merchant to track this information for individual customers, especially since we can offer you significant benefits and appreciate your loyalty based on such tracking.

We use all personal data for marketing purposes based on our legitimate interest and retain it for 5 years from your last order. Because we are aware that data regarding your specific interests, preferences, and feedback on commercial communications may be perceived as more sensitive, we only store this data for 2 years from the time it is collected.

INFOMATIC s.r.o. uses cookies on its website to improve website functionality, evaluate traffic, and optimize marketing activities. Cookies are small text files stored locally via your browser on the computer used to view the website. Cookies are not used for, and do not allow for, the personal identification of website users. If a website visitor does not agree to the collection of cookies, they can prevent it by changing their browser settings. Instructions for deactivating and deleting cookies can be found in the help section of your specific browser, or you can contact the browser manufacturer.

Google Analytics

To analyze the website using cookies, INFOMATIC s.r.o. uses the Google Analytics service, operated by Google Inc., located at Amphitheatre Parkway, Mountain View, CA 94043, USA ("Google").

Analysis using Google Analytics is performed anonymously based on collected cookie files, which are transferred to a Google server. On the INFOMATIC s.r.o. website, IP addresses are truncated before being transferred to the Google server. Google will not associate the transferred data, including the truncated IP address, with any other data. Google's privacy policy can be viewed here.

Personal data processed: cookies, anonymized IP address, screen resolution, device type, browser, country, and user's preferred language. Hotjar stores this data in a pseudonymized user profile. Neither Hotjar nor we ever use cookies to identify specific individuals or to link data to a specific user.

Newsletter

When you sign up for our newsletter, we will send you information about offers and services that we believe will be of interest to you. If you do not wish to receive these emails, please click the unsubscribe link in the footer of every newsletter. You may also object to this processing; see the "What rights does GDPR give you" section.

Processors: We use the Ecomail service provided by ECOMAIL.CZ, s.r.o., Na Zderaze 1275/15, Prague 2, 120 00, for sending newsletters.

Who do we transfer data to?

Your personal data is used exclusively for our internal needs and only for the reasons stated above. However, we do not provide all necessary services related to personal data on our own; we also use the services of third parties (specialized companies). We have concluded contracts with the third parties to whom we provide your personal data, based on which we are able to ensure and protect your rights in the area of personal data protection.

As part of your order, personal data may therefore be transferred to transport companies, for example:

We do not transfer personal data to any third party for the purpose of further processing.

Where do we store data?

Data is stored on backed-up servers of INFOMATIC s.r.o. Access to systems containing our customers' personal data is restricted to a limited number of internal users for whom it is necessary for their job duties. This may include, for example, employees working in customer care, order processing, etc. Individual staff members always have access only to the volume of personal data strictly necessary for their work. Access to all critical systems processing our customers' personal data is restricted to the internal network, and the aforementioned individuals automatically lose access to your personal data upon the termination of their legal relationship with us.

Right to access information and the right to its correction

At any time in the future, you can ask us to confirm whether or not your personal data is being processed by sending a message to the email address info@infomatic.cz. If your data is being processed by us, we can, upon your request and beyond the information provided in the General Terms and Conditions, these Privacy Policy, and the document containing information about cookie usage, also inform you about any third parties to whom your personal data has been or will be disclosed. If we did not obtain your personal data directly from you, you have the right to all information available to us regarding the source from which we obtained your personal information.

If we process your personal data inaccurately, you can notify us by sending a message to the email address info@infomatic.cz, and we will correct the inaccurate personal data without undue delay. If you wish to add personal data that you did not previously provide in our Partner Zone, and this data is necessary to ensure the services we provide, you can simply fill it in again in the appropriate profile editing section. You can request the deletion of your user account and any personal data not necessary for further processing by sending an email request to info@infomatic.cz.

Right to object to the processing of personal data

Even if we process your personal data based on our legitimate interest, you have the right to object to such processing, including objections to the processing of personal data for direct marketing purposes. You can do this by sending a message to the email address info@infomatic.cz. If you file such an objection, we will evaluate without undue delay to what extent we can legally justify the legitimacy of our reasons for processing your personal data despite your objection, and how we will handle your personal data in the meantime. Until we demonstrate our legitimate reasons for processing, we will not further process your personal data.

Right to restrict the processing of personal data

You have the right to request that we restrict any processing of your personal data, including its deletion, meaning that we must stop handling it:

• If you inform us that the personal data we have collected is inaccurate, until its accuracy has been verified.
• If the processing of your personal data is unlawful and you request, instead of erasure, by sending a message to the email address info@infomatic.cz to restrict its use.
• If we no longer need your personal data to provide our services, but you need it to exercise your legal rights.
• If the processing of your personal data is unlawful and you request, instead of erasure, by sending a message to the email address info@infomatic.cz to restrict its use.

Right to be forgotten (right to erasure of personal data)

If you discover that we are processing your personal data:

• Even though it is no longer necessary for the purposes for which we collected it,
• If you object as described in the paragraph above and we are unable to demonstrate compelling legitimate grounds for the processing which override your interests, rights, and freedoms, or for the establishment, exercise, or defense of legal claims, and/or
• unlawfully,

you have the right to request that we delete such processed personal data without undue delay after you notify us of these facts by sending a message to the email address info@infomatic.cz. However, we cannot delete the data, even at your request, if its processing is necessary for exercising the right of freedom of expression and information, for compliance with a legal obligation, for the performance of a task carried out in the public interest, or for the establishment, exercise, or defense of legal claims.

Right to receive data in a machine-readable format

If you request that we provide you with the personal data we process by sending a message to info@infomatic.cz, we will send it to you in a structured, commonly used, and machine-readable format (e.g., *.pdf, *.doc, *.xls, *.csv, or a similar format). If you ask us to transfer your personal data to another controller, we will, of course, comply with your request.

Right to opt out of marketing communications at any time

If you no longer wish to receive marketing communications from us, you can opt out by clicking the link included in every marketing message.

Right to withdraw consent for marketing communications at any time

If we request your consent to process personal data as part of our special promotions, you may withdraw this consent at any time, without giving any reason. You can withdraw your consent by sending a request to the email address info@infomatic.cz.

Right to lodge a complaint with the Office for Personal Data Protection

If you believe that we are not fulfilling all our legal obligations regarding the processing of your personal data, please contact us at info@infomatic.cz. If our team is unable to assist you, you have the right to contact the Office for Personal Data Protection at their registered address: Pplk.
