How MetaServer works in practice
Documents come from many places: as email attachments, files in shared folders, scans from multifunction printers, or photos from mobile phones. MetaServer captures all these inputs and converts them into a single managed process—from receiving the document to delivering the result to the target system.
In practice, MetaServer first processes the inputs: when multiple documents arrive at once, it splits them into individual files, recognizes their type (e.g., invoice, delivery note, form), and selects the appropriate workflow. It then extracts the necessary data (including tables or barcodes), fills in and verifies it according to your rules, and finally forwards the document and data—for example, to an ERP, DMS, database, or to specific people via email.
To extract text and data, MetaServer can utilize recognition powered by the Microsoft Azure cloud solution. This allows it to handle even low-quality scans and mobile phone photos, working with both machine-printed and handwritten text as needed. For specific scenarios, the system can be trained on your particular document types—typically based on a few samples.

Document capture
A document arrives as an email attachment, in a monitored folder, from a scanner/MFP, or even as a photo from a mobile phone. MetaServer automatically captures these inputs and queues them for processing—without manual saving, forwarding, or monitoring where things came from. It also works continuously, so documents don't get stuck in an inbox or on a shared drive.
Splitting and classification
When multiple documents arrive in a single file (typically a batch from a scanner), MetaServer splits them into individual documents. It then identifies the document type and selects the correct processing workflow based on rules or a trained model—for example, one for invoices, another for CMRs or forms. This ensures every document automatically follows the right path without the need for manual sorting.
Data extraction and validation
It extracts the necessary data from the document—not just simple fields, but also tables, barcodes, or handwritten information as needed. It fills in missing data from internal databases/look-up tables and verifies it against your rules. If it encounters an exception, it forwards it to the user interface for targeted review, ensuring attention is only required where it is truly necessary.
Export and system delivery
It sends the processed document and extracted data to your chosen destination—DMS, database, folders, email, or directly into your enterprise system (ERP, etc.). Export can run to multiple destinations simultaneously (e.g., archive + ERP) while maintaining consistent naming, structure, and metadata, ensuring documents remain easy to work with and retrieve.
